As the Deputy Soft Services Manager, you will play a crucial role in supporting the Soft Services Manager in overseeing the daily operations and ensuring the delivery of high-quality facility services. Assist the Soft Services Manager in overseeing the soft services department – security, cleaning and waste management and ensuring compliance with company standards and client requirements.
Supervise a team of soft services staff, providing guidance, training, and support to ensure optimal performance
Collaborate with various stakeholders, including clients, contractors, and internal teams, to understand their requirements and develop customized facility solutions
Monitor service delivery and conduct regular quality assessments to identify areas for improvement and implement corrective actions
Manage financial aspects of projects, including budgeting, cost control, and invoicing, ensuring profitability and client satisfaction
Ensure adherence to health and safety regulations, promoting a safe working environment for employees and clients
Stay updated with industry trends and best practices, identifying opportunities for innovation and continuous improvement
The primary focus is to assist in managing the operational day to day performance/standard as well and implementation & continuous review of strategy & processes across the services.
To assist in managing, overseeing the efficient & effective operation of the Security & Cleaning services within the contract, maintaining agreed contractual specification standards, ‘Service Level Agreements’ & ‘Key Performance Indictors’ To enhance the customer experience & reputation of the client organisation & ABM. To ensure team members are motivated, skilled, trained, supervised & supported to deliver exceptional operational & customer service standards at all times whilst complying with all Client’s & Company’s policies, procedures, relevant regulations & legislation
To ensure the contract is manned to agreed levels at all times, as instructed by the client
To assist in the recruitment process by keeping up to date records of staffing requirements and interview as required
Conduct annual appraisals of the team members in line with company policies and encourage further development of the teams
Ensuring that all staff are site and job trained and have read, understood and signed the Assignment Instructions, which are always up to date.
Conduct, take detailed notes on any issues of a disciplinary/ capability nature, ensuring the company procedures are carried out regarding any disciplinary and appeal interviews. To deal with Disciplinaries
Monitor and improve staff performance to agreed standards, time keeping, presentation and customer service
Ensure that the control room organises the rotational work pattern for every member of the team’s duties are carried out as agreed
To carry out daily cleaning audits
Adopt Duty Manager Role on a planned rota basis
Represent Management at meetings and group events when needed

REQUIRED SKILLS AND EXPERIENCE

Holder of the SIA DS/CCTV licence
Proven experience in facilities services or a similar role, with a focus on soft services
Strong leadership skills, with the ability to motivate and develop a team
Excellent communication and interpersonal skills, with the ability to build and maintain relationships with clients and stakeholders
Sound knowledge of health and safety regulations and compliance requirements
Proficient in IT and using different software and tools
Ability to work effectively in a fast-paced and dynamic environment
Exceptional problem-solving and decision-making abilities
