In this role the Co-ordinators Team Leader will be proactive and responsible leader who will work effectively with Reactive Co-ordinators and PPM Administrators to ensure the team has the necessary support and services to deliver its key objectives.

The role will carry out day to day liaisons and supervision of the teams, ensuring all processes are followed correctly while ensuring contractual SLA’s and KPI’s are met and KPI penalties are prevented.

KEY RESPONSIBILITIES

Monitoring the active jobs awaiting to be allocated to either Engineer/Sub-contractor – Planning / Allocate work for current and next day alongside Electrical & Mechanical Supervisor.
Monitor PPM Inbox to ensure tasks are being completed in time.
Ensuring all returns and rejected jobs are re-scheduled each day and all are cleared by end of the day.
Providing reports to management of the productivity of the scheduling team.
Be a proactive and responsible leader and taking ownership of your team.
Knowledge of SLA’s and KPI’s in line with the contracts and to actively manage the team to meet contractual requirements preventing penalties against KPI’.
Work along with the team to check allocations from previous night to ensure closures sent, any actions to be taken & ordering parts.
Daily SLA mitigation call – looking at what’s breached previous day adding to mitigation list reason for failure and look ahead for next 24 hours and over the weekend on a Friday.
Review Open Faults report.
To Ensure KPI 2D is managed – Permanent Rectification for priority 3 and 4 Work Orders – arrange revisit.
To ensure KPI 2E is managed via jeopardy management of the open faults to ensure that they prevent the work orders failing sla but also then managing the breached faults to reattend.
Escalate to supervisors if any issues with engineers/work.
Undertake any other ad hoc duties which reasonable falls within the remit of your role (Client / ABM management).
Completed work orders to be marked as reviewed whilst OnShift before completion evidence goes over to TfL Metro Maximo
Work effectively with Helpdesk Team Leaders to ensure an “end to end” service approach is always adopted, avoiding any operational risk.
Conducting training for new employees and/ or any refresher training required
Day to day liaisons and supervision of the teams, ensuring all processes are followed correctly.
Effectively communicate within the team and beyond, developing an open, trusting environment that respects contributions from individuals and recognises successes.

REQUIRED SKILLS AND EXPERIENCE

Excellent communication skills in both email and telephone calls. Requirements to communicate with Engineers, Customers, suppliers and sub-contractors to deliver work effectively.
Proven work experience as a team leader or supervisor.
Good PC skills, especially MS Excel.
Organizational and time-management skills.
Decision-making skills.
